Secretary I (06 Positions)
Job Purpose
To provide secretarial services to Heads of Units in the day to day running of their respective offices.
Main Duties and Responsibilities
- Provides secretarial and administrative support to the Head of Department, including management of diary, organizing and co-coordinating travel, liaison with a variety of individuals inside and outside the University, including the development of secretarial-related systems to ensure Departmental requirements.
- Assists with the organization of Departmental meetings, including securing availability, venue and hospitality, ensuring accurate information is recorded and papers distributed timely.
- Acts as the first contact for Departmental general enquiries, including face to face, e-mail and telephone.
- Assists in co-coordinating the production of Departmental publications and reports.
- Undertakes general secretarial and administrative tasks.
- Performs any other job-related duties as may be assigned by the supervisor.
Qualifications and Experience:
- Grade 12 Certificate with a minimum of 5 ‘O’ levels with Credit or better in English and Mathematics.
- Must have attained a Shorthand Speed of 80 words per minute or better and Typing Speed of 50 words per minute or better from Pitmans or Examinations Council qualifications.
- Minimum of two (02) years working experience at office management level.
Knowledge and Skills
- Must be responsible, mature, reliable and have a high level of confidentiality.
- Must have wide experience in Office Practice and Office Management.
- Must have good interpersonal skills.
- Must be innovative and disciplined.
- Must be computer literate
Reporting Relationships
Immediate Supervisor: Head of Department Unit
Salary Scale: PSS 07
